01
Give information a clear home
Decide where a team should find approved proposals, product information, process guidance or service material. Separate working documents from published knowledge and identify who owns each important collection.
We review the relevant SharePoint and Teams structure, how people navigate it and how content is maintained. The objective is a practical information environment that reflects the team's work, not a folder hierarchy built only around an organisational chart.
An account team, for example, may need a consistent place for the current proposal, meeting material and agreed next actions. A service team needs approved guidance that is easy to maintain and distinguish from an informal conversation.
02
Make collaboration more consistent
Agree how teams use shared spaces, documents and conversations. Which work belongs in a team channel? Which information should become a maintained document? Where are final decisions recorded?
Microsoft 365 provides the applications, but successful adoption also needs working conventions. We help define the relevant configuration and practices so collaboration does not depend on everyone remembering a different personal system.
The scope can connect this work with CRM and reporting needs. Avoid copying entire customer histories into broadly accessible team spaces when a controlled link to the system of record would be more appropriate.
03
Design access around the people and the work
Team membership, document sharing and external collaboration need deliberate choices. Review who should have access, who can share content and which information should stay within a smaller group.
Teams and SharePoint are connected experiences; their permissions should be considered together rather than managed as unrelated folders. Specific platform capabilities and licences are checked for the proposed configuration.
A better-organised environment is not automatically a complete security programme. We agree the collaboration and access work included in the engagement and involve the appropriate administrators and information owners.
04
Prepare knowledge for practical AI use
Before introducing an agent, identify which sources it should use and whether they are suitable. Who maintains the material? How do we know it is current? Is the information intended for internal employees, customer communication or both?
Pobuca can connect this preparation with AI Strategy & Adoption and supported Automate productivity use cases. Potential work includes researching approved information, preparing a document or helping coordinate a defined process.
The configuration must preserve access boundaries. Giving an agent access to content does not make every document suitable for publication or every action appropriate to execute automatically.
05
Improve the work without measuring people as a score
Evaluate the project through the process: time spent finding approved information, completion of a defined handoff, reduction of avoidable duplication, or adoption of the intended workspace.
These are operational improvement questions. The collaboration project should not quietly become a system for ranking employees or inferring individual performance from messages and activity counts.
06
Implement with adoption in mind
Begin with a focused team or workflow. Review its existing environment and agree the structure, responsibilities, required integrations and acceptance scenarios.
Prepare the relevant configuration and content, test the user journey and help the team adopt the agreed practices. Establish who maintains the workspace and how changes are requested after handover.
Migration, application integration and ongoing support are included only when specified. The proposal should make the boundary between software subscription, implementation and continuing services clear.

Questions about Microsoft 365 services
Can we keep our existing tenant and administrator?
Yes. We begin with the environment you use and agree access and responsibilities with your administrators. Replacing the tenant is not the default recommendation.
Is this just Microsoft 365 licensing?
No. This page describes Pobuca's services around implementation, collaboration and integration. Required software subscriptions are addressed separately in the scope.
Can this help a sales or customer-service team?
Yes. Their shared documents, knowledge and cross-team handoffs are useful starting points. The design should complement the CRM or service application rather than compete with it.
Must we add an AI agent immediately?
No. Organising information and working practices can have value on its own. AI is a separate next step where the sources, permissions and business case support it.
Can you work with a specific collaboration problem?
Yes. Bring a concrete example — a proposal process, knowledge library or team handoff — and we can define a focused engagement around it.
