Implementation & Integration

Make the solution work in your business — not only in a demonstration.

The value of a CRM, loyalty, engagement or AI solution depends on how it connects to real data, people and processes. The gap between a promising demo and a dependable operation is implementation.

Pobuca's engineers and agreed delivery partners configure the selected technology, connect the relevant systems and help establish a tested path into use. Start with a defined business scope and finish with a process the responsible teams can understand and operate.

Define the process and acceptance criteria

Identify the people using the solution, the customers affected and the work it needs to perform. Describe inputs, decisions, outputs and exceptions.

A loyalty redemption, CRM update and AI-created service case have different requirements. Agree what a successful outcome looks like and how it will be confirmed by the relevant system.

This gives the project a testable scope rather than a list of screens. It also helps separate necessary functionality from ideas that belong in a later phase.

Assess the existing environment

Review source applications, available interfaces, data structures, permissions and operating constraints. Determine what remains in place, what is configured and what needs a new connection.

The system of record should be explicit for customer, product, transaction and other important information. That avoids conflicting updates and uncertainty over which data is authoritative.

The architecture follows the requirement and the existing environment. A full replacement is not assumed simply because the project introduces a new capability.

Configure the selected software

Translate the agreed design into the relevant product configuration: customer entities, programme rules, service processes, audiences, journeys, reporting or agent tasks.

Keep business decisions visible. A custom field, reward rule or approval step should have a reason and an owner. Document important choices so future changes do not depend entirely on the memory of the implementation team.

Software inclusions and dependencies come from the approved commercial scope. The project should not silently treat every feature as part of every licence.

Prepare and connect the data

Data work can involve mapping, cleansing, identifying duplicates, migrating the agreed records and connecting ongoing updates. Validate the data against its intended use rather than simply count transferred rows.

Pobuca Connectivity and other integration components can support the exchange pattern required by the project. Some flows are scheduled; others need event-driven or real-time behaviour where supported.

Plan for invalid records, delayed updates, unavailable sources and reconciliation. For business actions, address repeat requests and the risk of duplicate transactions.

Put AI actions into the real process

We configure Automate to use the knowledge, tools and permissions needed for the selected workflow. This includes the work between applications: reading the right context, preparing an output, requesting approval where required, executing an action and checking the result.

A sales process can update CRM and submit an order. A marketing process can create an audience, prepare content, configure a journey and execute the approved campaign. A service process can retrieve information, complete an authorised change and hand off the exception with context.

Implementation connects these available capabilities to your environment. We define the system of record for each action, test failure paths and give the business a clear view of what was completed. This makes AI part of the operating process rather than a demonstration disconnected from it.

Test with the people who will use it

Functional testing confirms the configured behaviour. Business-user testing checks whether the process makes sense in practice.

Use representative data and scenarios, including incomplete information, permission limits and source-system failures. For customer-facing interactions, test the wording and handoff as well as the underlying action.

Acceptance should identify any remaining limitations or deferred items. A polished interface is not proof that an integration has been completed.

Prepare the transition into operation

Agree the release plan, responsible owners, user preparation and the treatment of existing data and processes. Identify how the team will report an issue and how a change will be evaluated.

Training should cover ordinary work, corrections and exceptions. Handover material needs to reflect the actual solution, including integrations and responsibilities across providers.

Ongoing technical support, managed services and enhancement work are separate scope decisions. State them clearly rather than assume that implementation includes unlimited future operation.

Work with your team and partners

Pobuca can deliver the project directly or work within an agreed partner arrangement. Your application owners and business representatives remain important participants.

For a Value Added Reseller engagement, the partner may lead services while Pobuca supplies licences and presales support. Other commercial models assign delivery differently. The project plan should reflect the actual arrangement, not a generic vendor chart.

IKEA: a connected CRM and loyalty implementation

Pobuca was selected to develop, integrate and manage IKEA's CRM and loyalty platform for the referenced regional operations. The published case describes the integration challenge across point of sale, e-commerce and service, alongside customer-data migration and personalised journeys.

Read the customer story

A practical example: from programme rule to working redemption

The business defines an eligible benefit. Implementation maps the required customer and transaction data, configures the rule, connects the relevant touchpoint and tests redemption and its exceptions.

The team confirms what happens for an invalid benefit, a return or an unavailable source. Staff learn how to handle the resulting states. That is a complete operating process, not simply a reward shown on a screen.

Can you integrate with our existing applications?

We assess the interfaces, data and actions required. Compatibility is confirmed against the actual environment.

Can our partner deliver part of the project?

Yes, with agreed responsibilities, technical boundaries and acceptance criteria.

Is a pilot the same as a production implementation?

No. A pilot tests an agreed scope; production readiness needs the appropriate security, operation, data and support arrangements.

Is ongoing management included?

Only when explicitly stated. Implementation, support and managed operation are different services.
