01
Make reporting useful to more people
Useful information should not be difficult to reach simply because someone cannot build a report. Give authorised employees a direct way to ask about the data relevant to their role.
CEOs, managers, analysts and customer-facing teams can use natural language instead of translating every question into a reporting request. That broadens access to information and supports more informed decisions across the organisation.
Insights explains the data. Your people decide what it means for the business and what to do next.
02
Ask the questions that matter to your team
Start with customer and operational questions that come up in everyday work. Use the agreed definitions and time periods so the answer has a clear meaning.
- Customer activity: Which customers reduced their purchasing during the last three months?
- Sales progress: Which opportunities have no recorded next step?
- Campaign contribution: Which campaign generated the most qualified sales opportunities under our agreed attribution model?
- Audience response: Which customer segments responded best to the latest offer?
- Loyalty engagement: Which high-value members have become less active?
- Product and service: Which products account for the most recorded support requests?
- Service commitments: Where did we miss response or resolution SLA targets this month?
- Partner performance: Which distributors have the highest value of recorded open opportunities by market?
Answers depend on the connected data and the definitions your organisation has agreed. If the requested information is missing, Insights explains the gap rather than filling it with a guess.
03
Connect your structured business data
Use the structured information already held in your line-of-business systems. Pobuca connects the relevant sources around the reporting questions you want to answer.
- CRM and sales: Accounts, contacts, opportunities, activities and recorded pipeline progress.
- ERP and orders: Customers, products, purchases, orders and relevant transaction records.
- Service and contact centre: Cases, structured request reasons, status and SLA records.
- Marketing and campaigns: Audiences, responses, conversions and approved attribution data.
- Loyalty and commerce: Membership, programme activity and online or other sales transactions.
- Related business systems: Authorised finance-system data where it is needed to explain a customer or sales question.
- Structured files: Agreed Excel and CSV datasets with defined fields and update ownership.
- Business intelligence: Power BI and other connected reporting environments, using the relevant approved models and measures.
This is structured-data reporting. It is not a search service for SharePoint, document libraries, emails or meeting notes.
04
Choose the reporting output you need
Not every question needs a long report. Use the form that makes the information easiest for the intended audience to understand.
- Written answers: A direct response to a specific question.
- Executive summaries: A concise explanation of the relevant results.
- Charts: A clear view of comparisons, trends or recorded differences.
- Scheduled reports: Agreed information delivered on a recurring schedule.
- Alerts: Notifications when defined data conditions or thresholds are met.
Insights provides these reporting outputs. It does not recommend business actions, send outreach, change records or trigger operational workflows.
05
Build a reliable reporting foundation
The agent needs more than a connection to a table. It needs to know which fields and measures your team uses and what they mean.
Pobuca sets up the source mappings, reporting definitions and access rules. Agree what counts as an active customer, a qualified opportunity, an inactive loyalty member or a missed SLA before comparing results.
Across Automate, Pobuca's knowledge-management infrastructure connects structured business data, unstructured workplace information and real-time communication. Insights uses only the approved structured reporting sources within that foundation, keeping document search and conversation analysis outside its scope.
06
Understand where each answer comes from
Make the answer easier to check, not just easier to read. The reporting setup can show the source, relevant calculation definitions and the freshness of the available data.
Your team can understand which period was used, how a measure was defined and whether any records or sources are missing. Source links or record references can be included where configured.
Differences in the data should not automatically be presented as causes. If the available records do not explain why something happened, Insights makes that limitation clear.
07
Open access without removing permissions
Democratising reporting does not mean giving everyone access to every record. Each person should see only the information their role is authorised to use.
Pobuca defines access around the approved systems, roles and reporting needs. A manager, analyst and service employee can ask different questions within their own permitted view.
A spoken question can be an optional interface where enabled. It changes how the question is entered, not which structured sources the answer uses.
08
See a customer-service question become a clear explanation
A service manager asks: “Which order-related request categories had the most repeat contacts this month?” The relevant cases, request categories and order references are held as structured records.
Insights uses the approved definitions to prepare a written summary and chart. It identifies the recorded categories with the highest repeat-contact counts and explains the period, sources and calculation used.
The manager can receive the same report weekly or set an alert for an agreed threshold. If a reason for the pattern is not recorded, Insights says so rather than inventing an explanation.
The service team decides whether to investigate or change a process. Insights does not create a case, prescribe a response or act on the result.
09
Start with the questions your business needs answered
Choose a small set of useful reporting questions and the people who need the answers. Pobuca maps the structured sources, agrees the definitions and permissions, and tests the results against the source data.
Review accuracy, clarity, coverage and time to answer before expanding. Keep responsibility for data quality, model changes and access decisions clear.
Pobuca experts can support the reporting setup and provide the first line of oversight through an agreed managed service. They involve your team when a definition, data gap or reporting exception needs its input.
