01
Support the requests your customers actually make
Start with the requests that arrive every day and the process needed to resolve them. Define which ones an agent can handle and which need a person.
- Orders and deliveries: WISMO, delivery updates, order changes and cancellations.
- Returns and warranty: Eligibility, approved steps and relevant account or product checks.
- Customer administration: Billing enquiries, account updates and appointment booking.
- Product support: Product information, usage guidance and technical troubleshooting.
- Complaints: Capture the issue, route it correctly and keep the customer informed.
- Feedback: Collect responses and support authorised follow-up.
These workflows can serve consumers or business customers. The right process depends on the customer's context, not only the channel they use.
02
Give answers grounded in your business knowledge
Pobuca builds the knowledge-management infrastructure that helps agents understand the request and use the right information. Service policies, product instructions and current customer context should work together.
Structured ERP, CRM, order and service data provide the relevant operational facts. Approved emails, files, chats, product documentation and contracts provide guidance, while authorised calls, meetings, voice notes and case notes add interaction context.
The agent follows access and identity rules before sharing account information. If the source is missing, the policy is unclear or the request falls outside its authority, it asks for clarification or transfers the case.
03
Handle order enquiries and order taking
Give WISMO a useful answer
WISMO means “Where is my order?” Connect the relevant order and delivery sources so the agent can provide the available status, explain recorded exceptions and arrange the agreed next step.
An update can be sent through the customer's preferred supported channel. If an investigation is needed, the agent creates or routes the appropriate case instead of inventing a delivery promise.
Take and validate orders
Capture orders through voice, email or chat. Check customer identity, products, quantities, availability and applicable commercial rules, and clarify unclear items before submission.
Both operating models are supported: submit a validated order to the connected system when the rules authorise it, or prepare it for human approval. Confirm the result only after the system accepts the action.
Make recommendations relevant
Cross-sell or upsell suggestions can be included where they fit the customer's needs and the agreed rules. They should support the interaction, not distract from solving the original request or create pressure to buy.
04
Continue the conversation across channels
Support applicable voice, email, chat, WhatsApp, website and social-messaging channels. Keep the relevant interaction history available when a customer or case moves to another supported channel.
Voice AI can support natural conversations, including Greek-language service, phone order taking, self-service and call routing. When a person is needed, transfer the conversation with a useful summary and the checks already completed.
Authorised transcription, call summaries and post-call CRM updates help the team continue the work. Recording, disclosure and data handling follow the policies agreed for the service.
05
Support technical teams and useful human handoffs
Technical support needs more than a generic answer. The agent can check the customer's entitlement, warranty and service contract before following the relevant support process.
- Triage: Classify the issue and apply agreed priority rules.
- SLA tracking: Follow response and resolution targets and flag approaching or missed deadlines.
- Troubleshooting: Use approved product guidance and capture the steps already attempted.
- Coordination: Support escalation and field-service dispatch or scheduling where connected.
- Continuity: Send authorised maintenance or renewal reminders and keep the case history useful.
When the request needs an expert, hand over the customer context, symptoms, actions and remaining work. The customer should not have to start the explanation again, and the specialist should not have to reconstruct the case.
06
Help customers get more value from what they bought
Build value into the service interaction
Gartner's Value Enhancement Score (VES) looks at whether service strengthens customers' confidence in their purchase and their belief that they can get more value from what they already bought (Gartner on service experience metrics). Pobuca Automate can support the practical guidance that helps customers use what they already own.
- Purchase reassurance: Explain how the purchased product fits the customer's documented needs.
- Better-use tips: Share relevant features, instructions or advice for the product or service already bought.
- Timely support: Recognise when the customer needs clarification, education or reassurance.
Resolve the original request first and keep the guidance relevant. Value enhancement is not a requirement to turn every service contact into a new sale.
Connect feedback with follow-up
Connect with Pobuca Measure to bring Voice of Customer feedback into the service workflow. Agreed feedback signals can trigger recovery follow-up, case escalation, recurring-issue review or updates to approved service knowledge.
Your team defines the rules and reviews sensitive cases. AI-derived conversation signals remain distinct from customer-reported VES and other survey measures (Pobuca Measure).
07
Measure the experience, not just the speed
A faster interaction is useful only if the customer gets the right help. Review resolution, repeat contact, order accuracy, SLA performance and the quality of human handoff.
Use customer feedback alongside operational measures to understand whether the experience is improving. Where appropriate, assess value-enhancement practices separately from the customer's own reported score.
Compare the results with the starting point and review exceptions, not only the easy cases. The aim is lower effort for customers, more useful service and a sustainable operating cost.
08
See a WISMO enquiry become a useful resolution
A customer calls to ask where an order is. After the required identity checks, the agent reads the available order and delivery information from the connected systems.
It explains the recorded status and sends an authorised update through the customer's preferred supported channel. If the delivery is delayed or the status is unclear, it creates the appropriate service case and hands over the context.
The agent records the interaction and agreed follow-up. Once the original issue is resolved, relevant guidance can help the customer use the product they bought, without adding an unrelated sales pitch.
The customer receives a clear answer and a next step. The service team can see what happened and what still needs attention.
09
Fit AI around your service operation
Pobuca starts with your service processes, channels, systems and knowledge. We define the agent's scope, customer-identification rules, permitted actions, SLAs and human handoff before implementation.
Role-based access, traceable activity and relevant enterprise security controls support the operating model. We test incomplete information, ambiguous orders, complaints and tool failures as well as straightforward requests.
Pobuca can provide the first line of human oversight through an agreed managed service. Our experts supervise the workflows and involve your team where customer judgement, technical expertise or approval is needed.
